Job Description

The Mines Advisory Group (MAG) is a British based Non-Governmental Organization engaged in the eradication of landmines and other unexploded ordnance. MAG’s mission is to build the futures of people affected by the remnants of conflict through responsive, quality-driven and progressive action. We remove the physical threat of injury and death and alleviate economic devastation. We provide clearance and education enabling an escape from the poverty and suffering caused by conflict. MAG has been working in the field of Humanitarian Mine Action in Cambodia since 1992.

MAG is now seeking applications from suitably qualified and experienced Cambodian Nationals to fill the following position:

  • Vehicle Fleet Supervisor (1 Position)
Job Responsibilities & Duties

The Vehicle Fleet Supervisor will undertake the following activities:

  • Fuel and lubricant management
    • Collect fuel usage records for all vehicles, motorbikes, mechanical assets, generators and brushcutters
    • Create fuel consumption report per vehicle/ mechanical asset/ motorbike/ generator and brushcutter and submit to VFM on a monthly basis
    • Do brief analysis of above fuel reports and flag any causes for concern with the VFM
    • Carry out spot-checks on fuel to ensure quantity and quality of available and/ or stored fuel are as expected at any given time
    • Support the teams to ensure fuel delivery to the accommodation sites is efficient, cost-effective and, whenever possible, carried out together with other required deliveries
  • Spares consumption monitoring
    • With support of the VFM, create a recommendation for minimum stock of spare parts for all vehicles and motorbikes, based on current usage
    • Monitor minimum stock and usage of spare parts in general and send a monthly report of spare part consumption to the VFM
  • Maintenance plans
    • Based on the collected logsheet and the A, B, C maintenance cycle, create a monthly maintenance plan for vehicles, motorbikes and mechanical assets.
    • Following VFM approval, work with the Mechanical Supervisors and Base Supervisors to ensure this is followed up
    • Based on cost of maintenance of individual vehicles, make recommendations to the VFM regarding disposal of assets that are no longer cost-effective to run
  • Regular vehicle spot-checks
    • Undertake regular spot-checks of vehicle log books to ensure accurate information is being completed in the correct way and on time
    • Report any concerns/ inconsistencies to the VFM
    • Carry out spot checks on all vehicles to ensure the presence of fire extinguishers and medical kit and spare tyres and that the tyres are in good condition. Check that the cars are being kept clean inside and that there are no causes for concern (eg cracked windscreens, non-functioning seatbelts etc).
  • Record keeping and vehicle security
    • Be responsible for issuing the first set of keys for all vehicles/ motorbikes and hold the spare keys, organized in a clearly-identifiable manner, in a safe and inaccessible place
    • Monitor the correct completion of the vehicle handover sheets and ensure that they are being completed in such a way that we always know who is responsible for which vehicle
    • Set up a hard copy filing system per vehicle/ motorbike/ MAG mechanical asset, to include details of purchase and import documents, insurance, tax, maintenance records/ job cards and government inspection records
    • Be responsible for ensuring that all entries relating to vehicles and motorbikes are correct and up to date on the MAG Cambodia asset register
  • As part of their roles, all MAG staff are required to:
    • Uphold and implement MAG standard policies including, but not limited to the Policy on Personal Conduct, Protection of Children and Vulnerable Adults, Dignity at Work, Financial Crime Policy, Gifts and Hospitality Policy and Equal Opportunities Policy
    • Work within the framework of MAG’s core values, promoting its ethos and mission statement.
    • Work towards achieving programme and/or department business plan objectives
    • Ensure familiarity with and adhere to all MAG policies and procedures and keep informed of MAG activities
    • Undertake and apply learning from appropriate training and development programmes.
    • Undertake the role in a manner appropriate to the cultural context and within the local legal framework
    • On occasion, work outside regular working hours as circumstances dictate.
Job Requirements
  • High school graduate with minimum of 5 years' experience in fleet management, preferably in an NGO context
  • Valid driving license category B
  • Mechanical ability (4x4, motorbikes, mine action-related mechanical assets an advantage)
  • Advanced excel skills
  • Fluent English
  • Willingness and ability to travel outside of Battambang for extended periods
  • Good communication skills
  • Knowledge of the mine action sector and the mechanical assets used for supporting mine clearance would be an advantage
