We are currently seeking the qualified and competitive dynamic candidates to fill the following position(s) as below:
- Administrative and HR coordination
- Maintain up-to-date filing systems for staff records, travel approvals, leave forms, and FLC program documents.
- Support recruitment steps for programme staff, including posting vacancies, collecting CVs, scheduling interviews, and preparing interview files.
- Assist with onboarding and offboarding tasks, such as induction planning, preparing documents, and collecting exit forms.
- Track attendance and leave plans for FLC programme staff and submit monthly summaries to HR.
- Coordinate with HR on contract renewals, probation assessments, and training attendance records.
- Assist staff with travel and administrative requests in a timely way and ensure proper documentation is submitted.
- Share HR-related announcements, reminders, and templates with village staff and ensure acknowledgements are received.
- Uphold confidentiality and careful handling of staff and child-related documents.
- Procurement & Logistics support
- Assist with small purchases following SOS Cambodia procurement guidelines.
- Maintain asset and office supply inventory and prepare replenishment requests.
- Arrange logistics for meetings, workshops, and training, including venue booking, refreshments, printing materials, and transport arrangements.
- Coordinate travel support for staff, including ticketing, accommodation, advances, and clearances.
- Budget Tracking & Financial Administration
- Support the project manager in monitoring small operational budgets.
- File PRs, small payments, receipts, quotations, and settlement documents in alignment with SOS Cambodia procurement and finance procedures.
- Coordinate with finance to ensure timely processing and liquidation of travel claims and activity costs.
- Data and Reporting Support
- Collect monthly and quarterly data from SOS Cambodia in the required formats.
- Assist with maintaining updated FLC databases, such as:
- Children and caregiver lists
- Care plan monitoring trackers
- Transfer, reunification, and admission records
- Support program staff in preparing visual summaries, basic tables, or tracker updates.
- Communication & Stakeholder Support
- Act as a focal point for administrative communication between:
- National Office FLC team
- SOS Cambodia
- Other departments, including HR, Finance, and Procurement
- Ensure requests and information are shared and responded to in a timely way.
- Support in arranging meetings between villages, the national office, and government or NGO partners when required.
- Support to Safeguarding and Child Protection
- Maintain confidential filing of safeguarding documents, ensuring controlled access.
- Assist with logistics and attendance tracking for safeguarding trainings.
- Help monitor that reporting templates are used and submitted on time.
- Bachelor's Degree in administration, management, social sciences, or related field.
- Administrative support experience (NGO experience preferred) for 2 years as a minimum
- Able to maintain confidentiality when handling child and staff information.
- Good written and spoken Khmer; basic English desirable.
- Able to use Microsoft Word, Excel, and email confidently.
- Good organization and time management skills.
- Strong attention to detail and accuracy.
- Team-oriented and willing to support program staff where needed.
- Strong customer-service mindset when communicating with villages and stakeholders.
