We are currently seeking a qualified Cambodian national to fill the role of Administrative and Office Support Assistant for Country Office.
- General Administrative Responsibilities
- Manage front office operations, including telephone system, visitor reception, and staff contact lists. Handle petty cash and prepare vouchers for replenishment. Oversee office stationery and supplies, ensuring timely restocking. Provide document support (scanning, copying, filing). Assist with asset management and handover processes. Coordinate driver schedules and arrange outsourced vehicles when needed. Manage staff phone card allowances and ensure secure storage of important documents. Support meetings and workshops by organizing refreshments.
- Procurement Responsibilities
- Create purchase requisitions in PeopleSoft, assist with updating procurement trackers and consultant profiles, request and negotiate quotations, ensure proper filing of payment vouchers, and coordinate vendor registration by collecting required documents.
- House Keeping Responsibilities
- Perform daily cleaning of office areas and shared equipment, monitor and replenish cleaning supplies, clean kitchen items, provide refreshments to visitors, report and coordinate repairs, ensure windows and electrical equipment are turned off after hours, and carry out other housekeeping duties as assigned.
- Other Responsibilities
- Assisting in support to emergency response
- Promote safety, gender equality, and safeguarding policies
- Ensure compliance with organizational procedures.
- Bachelor's Degree in Management or a relevant degree.
- Experience in a similar position, preferably with an NGO for 3 years as a minimum
- Skilled in MS Office, SharePoint, and PeopleSoft
- Excellent knowledge of front desk and secretarial management with a proven ability to handle national and international correspondence.
